“Is the Unannounced Audit mandatory if I am just an Office?”

Yes. This is the most common point of confusion for Agents and Brokers who work from office blocks or home offices.

The Rule: To comply with GFSI benchmarking, all certificated sites must have at least one unannounced audit every three years. This applies even if you are a purely administrative operation.

How it works: You cannot “opt-out.” Your certification body will notify you within 3 months of your last audit if your next one will be unannounced.

The “Blackout” Days: You can nominate up to 10 “non-audit days” (e.g., company holidays or when the Quality Manager is on vacation) to avoid the auditor arriving when no one is available.

“What exactly is required for a ‘Product Safety Culture’ Plan?”

Issue 3 introduced Clause 1.1.2, requiring a “plan for the development and continuing improvement of a product safety and quality culture.” Many brokers struggle with how to “culture” a team of 3 people in an office.

It is not just a policy: You cannot just write “We care about safety.” You need a specific Action Plan.

Required Elements:

Communication: How do you discuss safety updates with staff? (e.g., Monthly emails, quarterly meetings).

Training: Beyond basic hygiene, are you training staff on Food Fraud or Threat Assessment?

Employee Feedback: How can a junior logistics coordinator report a concern about a suspicious supplier?

Performance Measurement: You must measure if culture is improving (e.g., fewer customer complaints, faster non-conformance close-outs).

“Do I have to physically audit my suppliers?”

This is the core challenge for brokers. The answer lies in Risk Assessment (Section 4.1).

Low-Risk Suppliers: If the supplier is already BRCGS, IFS, or SQF certified, you generally do not need to audit them physically. You just need to verify their certificate is valid and covers the products you buy.

High-Risk / Non-Certified Suppliers: If you buy from a small supplier with no GFSI certification, you must have a robust approval process. This usually means either:

Commissioning a third-party audit.

Conducting an on-site audit if you have a qualified auditor.

Conducting a documented “Supplier Questionnaire” plus a risk assessment justifying why you trust them.

Note: The “Importer” Trap: If you import goods, you are legally the “manufacturer” in the eyes of many local authorities (like the FDA or FSA). Your approval process must be watertight because the legal liability stops with you.
